SUMMARY:

The Office Coordinator will coordinate various office tasks and functions to ensure office operations run smoothly at all times. The Office Coordinator will be organized, personable, detail-oriented, and is able to manage multiple projects at once in a fast-paced environment. Tasks include, but not limited to, answering phones, responding to emails, light office accounting, maintaining office supplies, filing, work orders, assist with on/off campus events as necessary, and other general office duties.


ESSENTIAL DUTIES:

Performs various clerical tasks as needed (file papers, organize supplies, etc.); Take meeting notes and transcribe; Prepare and send emails; Answer phones; Manage, sort, and dispense incoming mail; Prepare outgoing mail; Perform general bookkeeping duties,( financial records and budget transfers); Maintain an organized work space at all times; Frequently check office supplies, and supplies when needed; Report any updates or pertinent issues that need addressing to the Director and Assistant Director; Uphold and carry out company office policies and procedures; Assist in planning and coordination of Niagara University’s President Dinner, and Commencement; Assist the Assistant Director with Summer Conferences and AirBNB; Participate in various University community projects on and office campus; Maintain confidentiality of information (including but not limited to: student and employee personal information, student grades, etc.), both during and after their employment with the University.  Any question regarding the confidentiality of material, should be referred to the supervisor.  Any violation shall subject the employee to disciplinary action, up to and including termination of employment;  Performs other duties as assigned by Director and Assistant Director of Conferences and Events. 


GENERAL DESCRIPTION:

50%    General daily office duties  

50%    Assist Center for Conferences and Events on various events as needed.


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

Strong oral and written communication skills; Strong interpersonal skills to relate and work with all university associates and the business community; Ability to travel locally and outside Western New York when necessary; Ability to read and comprehend various forms, documentation, files and information in the department. Proficiency to handle various office machines including but not limited to: keyboard, calculator, computer, copy machine and fax.  Ability to receive telephone calls, respond to inquiries and communicate with others by telephone. Knowledge of computer software applications, such as Microsoft Office and Outlook.


ERGONOMIC REQUIREMENTS:

The functions of the position usually performed sitting, but may require some amount of time standing. Some amount of stooping, kneeling, bending, crouching, lifting, walking, carrying and other movements may be required. Tasks involving working on a computer keyboard, calculator, cutting, labeling, and taping involve involves extensive wrist and hand movements.  All individuals are required to be able to perform these movements without significant risk of injury to themselves or others.


QUALIFICATION STANDARDS:

Bachelor’s degree or completing Bachelor’s Degree; A minimum of 1 year of office experience or related field required; A valid New York State driver’s license is required that satisfies both University and insurance company underwriting rules and regulations for driving a motor vehicle. Must also be able to operate a motor vehicle in Canada.
